1. Overview & Purpose

1990 Web Archive is committed to the systematic preservation of early internet content while maintaining strict compliance with data protection regulations. This document outlines our data retention schedules, storage practices, archival procedures, and user rights regarding archived digital assets.

Our mission requires long-term retention of historically significant web content. We balance preservation objectives with responsible data lifecycle management, ensuring that only necessary data is retained for legally and historically justified periods.

2. Data Categories & Retention Schedule

We classify archived and operational data into distinct categories, each with a defined retention period. Retention begins on the date of data acquisition or creation.

3. Storage Infrastructure & Security

3.1 Tiered Storage Architecture

Archived content is distributed across three storage tiers to optimize preservation integrity and access performance:

  • Hot Tier: Frequently accessed collections, API endpoints, and rendering caches. Retained for 12 months before migration.
  • Cold Tier: Bulk historical archives, media repositories, and cryptographic verification blocks. Retained indefinitely with quarterly integrity audits.
  • Offline Vault: WORM (Write Once, Read Many) drives and optical media stored in geographically dispersed, climate-controlled facilities. Retained indefinitely for disaster recovery.

3.2 Security & Access Controls

All retained data is encrypted at rest (AES-256) and in transit (TLS 1.3). Access is restricted via role-based authentication, hardware security modules (HSM), and multi-factor verification. Integrity verification is performed using SHA-256 checksums and Merkle tree validation.

4. Retention Exceptions & Legal Holds

Certain data may be retained beyond standard schedules under the following conditions:

  • Legal Holds: Pending litigation, regulatory investigations, or court orders may extend retention indefinitely until release.
  • Historical Significance: Content deemed culturally or technologically pivotal by our preservation council is exempt from deletion.
  • Research Partnerships: Data shared with accredited academic institutions follows mutually agreed retention terms, never exceeding 10 years without renewal.
NOTICE: Any data subject to a legal hold is immediately quarantined from deletion queues and flagged in our compliance management system.

5. User Rights & Data Requests

Individuals retain the right to access, correct, export, or request deletion of their personal data, subject to preservation obligations:

  • Access & Export: Submit a request via our portal to receive a structured archive of your personal data in JSON/CSV formats.
  • Deletion Requests: Personal account data may be deleted within 30 days. Archived public web content cannot be removed if it falls under historical preservation criteria.
  • Opt-Out: Users may disable tracking cookies, crawler indexing of personal subdomains, and marketing communications at any time.

All requests are processed within 30 calendar days. Complex requests may require up to 60 days for verification and compliance review.

6. Policy Updates & Contact

This policy is reviewed annually and updated to reflect changes in technology, regulations, or preservation standards. Users will be notified via email and site announcements when material changes occur.
