Conflict of Interest Policy
1. Introduction & Scope
Aevum Encyclopedia is dedicated to delivering accurate, impartial, and verifiable knowledge to a global audience. To preserve the integrity of our platform, we maintain a strict Conflict of Interest (COI) Policy that governs editorial contributions, content curation, algorithmic curation, and administrative oversight.
This policy applies to all human contributors, editorial board members, subject-matter experts, platform staff, contractors, and the AI systems integrated into our editorial workflow. Compliance is mandatory for all participants engaged in content creation, review, or platform governance.
2. Defining Conflict of Interest
A conflict of interest exists when personal, financial, professional, or ideological relationships could reasonably be perceived to influence—or actually influence—the objectivity, accuracy, or neutrality of content or editorial decisions on Aevum Encyclopedia.
Examples Include:
- Contributing to articles about organizations, products, or individuals with which the contributor has a financial stake, employment relationship, or familial connection.
- Editing or reviewing content to promote a personal brand, political agenda, or ideological viewpoint without transparent disclosure.
- Using editorial access to suppress, manipulate, or negatively target competing entities or individuals.
- Accepting compensation, gifts, or favors in exchange for favorable coverage or platform visibility.
Important: A conflict of interest does not automatically disqualify a contributor. It requires transparent disclosure and appropriate editorial management.
3. Mandatory Disclosure
Any contributor, editor, or staff member with a potential or actual conflict must disclose it through our formal COI portal prior to contributing to or reviewing affected content. Disclosure must include the nature of the relationship, its duration, and any relevant financial or professional ties.
Financial Interests
Equity, compensation, sponsorships, or revenue-sharing related to article subjects.
Professional Ties
Employment, advisory roles, board memberships, or collaborative research.
Personal Relationships
Familial, romantic, or close personal connections to subjects or competing entities.
Ideological Affiliations
Organizational memberships or advocacy roles that may shape editorial perspective.
Undisclosed conflicts may result in content flagging, editorial review, or contributor suspension.
4. Management & Mitigation
Once disclosed, conflicts are evaluated by our Editorial Governance Committee, which determines appropriate mitigation strategies:
- Recusal: The contributor is temporarily or permanently restricted from editing the specific article or related topics.
- Transparency Tagging: Disclosed interests are publicly noted on the article’s talk page or metadata without compromising neutrality.
- Peer Review Assignment: Content is routed to independent reviewers with no disclosed ties to the subject matter.
- Content Restructuring: In cases of severe bias, sections may be rewritten by neutral editors while preserving cited facts.
All mitigation actions are logged and auditable to ensure consistent enforcement.
5. Editorial Independence & AI Governance
Aevum Encyclopedia integrates AI-assisted tools for fact-checking, source cross-referencing, and content structuring. These systems are explicitly designed to avoid commercial bias, ideological weighting, or proprietary data manipulation.
- AI models are trained on peer-reviewed, open-access, and publicly verified datasets.
- Algorithmic recommendations are regularly audited for systemic bias or promotional patterns.
- AI-generated or AI-edited content is clearly labeled and subject to the same COI standards as human contributions.
- Third-party AI vendors must sign binding neutrality and data-integrity agreements.
6. Enforcement & Consequences
Violations of this policy are addressed through a graduated enforcement framework:
- First Offense: Mandatory retraining, content rollback, and temporary edit restrictions.
- Repeated Offenses: Extended suspension, permanent removal from editorial roles, and public documentation of violations.
- Severe Malpractice: Permanent platform ban, revocation of contributor credentials, and potential legal action if defamation or fraud is involved.
All enforcement actions are reviewed quarterly by an independent oversight board to prevent overreach or inconsistent application.
7. Reporting & Contact
Community members, contributors, and external researchers are encouraged to report suspected conflicts of interest, editorial bias, or policy violations. All reports are treated confidentially and investigated within 14 business days.
