How to File a Complaint

Submit Your Concern

Reach out via our encrypted email, secure web portal, or dedicated phone line. You can submit anonymously if preferred. Include any relevant details: what happened, when, and what information was involved. Attach any documentation you have.

Acknowledgment & Triage

⏱ Within 24 hours

You will receive a confirmation with a unique case reference number. The Privacy Ombudsman's office reviews your submission, categorizes the concern, and determines whether it requires immediate escalation or standard investigation.

Independent Investigation

⏱ 5–15 business days

The Ombudsman's team investigates the matter independently. This may include reviewing system logs, interviewing relevant staff, auditing data flows, and consulting legal counsel. You will receive progress updates at each milestone.

Findings & Resolution

⏱ Within 30 days

You receive a detailed written report of the investigation's findings, any corrective actions taken, and recommendations for preventing recurrence. If the matter involves a legal claim, you are informed of your options for further recourse.

Follow-Up & Closure

⏱ 60 days post-resolution

We follow up to ensure corrective measures are in place and functioning as intended. Case findings are aggregated (anonymized) into our annual Privacy Accountability Report, published publicly.

Request a complete copy of all personal data Aevum News holds about you, including the sources, purposes, and recipients of that data. Response within 30 days.

Yes. While providing contact information helps us investigate more thoroughly and keep you updated, we fully accept anonymous complaints. Anonymous submissions are investigated with the same rigor as identified ones. If we need additional information, we may request it, but we will never force identification.
The Privacy Ombudsman reports directly to the Board of Directors, not to the CEO or any executive. The role has a fixed, non-renewable term to prevent conflicts of interest. The Ombudsman's budget is ring-fenced, and findings are published without editorial or executive review. This structural independence is enshrined in Aevum News's corporate governance charter.
The Ombudsman handles any concern related to personal data, including: unauthorized data collection, inaccurate or incomplete records, unwanted sharing with third parties, data breaches, cookie and tracking concerns, difficulties exercising your data rights, and any perceived violation of our published privacy policies. If you're unsure whether your concern falls under our scope, reach out — we'll guide you.
Absolutely not. Aevum News has a strict non-retaliation policy. Filing a privacy complaint under no circumstances affects your subscription, access to content, newsletter enrollment, or any other service. Any employee or manager found retaliating against a complainant faces immediate disciplinary action, up to and including termination.
Our annual Privacy Accountability Report, published each March, aggregates anonymized case findings, resolution statistics, policy changes implemented as a result of complaints, and the Ombudsman's recommendations for the coming year. All past reports are publicly available at reports.aevumnews.com/privacy. No paywall, no login required.
If you believe the investigation was incomplete or the resolution inadequate, you can request a review by the Board's Privacy Committee within 15 days of the final report. Additionally, you retain your right to lodge a complaint with your applicable data protection authority (such as an EU Data Protection Authority, the California CCPA/CPRA, or other relevant regulator). We will cooperate fully with any external investigation.
