Data Retention Policy

Effective Date: January 1, 2025 Last Updated: October 15, 2025 Applies To: All Users & Readers

1. Purpose & Commitment

At Aevum News, we believe transparency is the foundation of trust. This Data Retention Policy explains how long we keep your personal information, why we retain it, and how you can exercise control over your data. We are committed to collecting and storing only the data necessary to deliver our journalistic services, comply with legal obligations, and protect your rights.

Core Principle: We do not retain personal data longer than strictly necessary for the purposes for which it was collected, unless required by law or legitimate business necessity.

2. Data Retention Periods

Retention periods are determined by the nature of the data, the purpose of collection, and applicable legal requirements. Below is a breakdown of how long we retain different categories of personal information:

Data Category Purpose Retention Period
Account & Subscription Data User authentication, billing, and service delivery Duration of account + 3 years after closure
Reading & Usage Data Content recommendations, analytics, and service improvement 13 months (anonymized thereafter)
Communication & Feedback Customer support, editorial inquiries, and surveys 6 months after resolution or response
Newsletter & Marketing Consent Email distribution and promotional communications Until unsubscribe request + 30 days processing
Financial & Payment Records Invoice generation, tax compliance, and fraud prevention 7 years (as required by tax & financial regulations)
Legal & Compliance Data Court orders, regulatory investigations, or litigation Duration of proceedings + statutory limitation periods

3. Legal & Regulatory Basis

Our data retention practices are designed to comply with applicable data protection laws, including but not limited to:

  • GDPR (EU/UK): Retention limited to necessity, with strict purpose limitation and data minimization principles.
  • CCPA/CPRA (California): Clear retention categories and consumer rights to deletion and opt-out.
  • Tax & Commercial Law: Financial records retained for statutory periods (typically 5-7 years depending on jurisdiction).
  • Media & Press Regulations: Editorial archives and source protection maintained in accordance with journalistic standards and applicable press laws.

Where legal obligations exceed our standard retention periods, we will retain only the minimum data required and restrict processing to compliance purposes.

4. Data Anonymization & Archiving

When personal data is no longer needed for its original purpose, we do not simply delete it indiscriminately. Instead, we apply a two-tier approach:

  1. Secure Deletion: Identifiable personal information is permanently erased from active databases and backups within 30 days of reaching its retention expiry.
  2. Anonymization: Where data holds historical, statistical, or journalistic value (e.g., readership trends, editorial archives), we strip all direct and indirect identifiers. Anonymized datasets cannot be used to re-identify individuals and are exempt from standard retention limits.

Our editorial archives preserve the historical record of global events while respecting reader privacy. All published articles undergo automated and manual review to ensure no personal reader data is inadvertently retained in public-facing content.

5. Your Rights & How to Request Deletion

You have the right to request access to, correction of, or deletion of your personal data at any time. Aevum News respects your privacy choices and will process valid requests without undue delay.

How to Exercise Your Rights:

  • Log in to your Account Settings and use the self-service data management tools.
  • Submit a formal request via our Privacy Portal at privacy.aevumnews.com/request.
  • Send a verified email to privacy@aevumnews.com with subject line "Data Retention Request".

Important: We will verify your identity before processing any request. In certain circumstances (e.g., ongoing legal proceedings, tax compliance, or fraud prevention), we may be required to retain specific data despite your deletion request. We will notify you promptly if this applies and explain the legal basis.

6. Policy Updates & Notifications

As laws evolve and our services develop, we may update this Data Retention Policy. Material changes will be communicated via email, in-app notifications, or a prominent banner on our website. We encourage you to review this page periodically to stay informed about how we handle your information.
