1. Purpose & Scope

This policy establishes the foundational employment standards, expectations, and compliance requirements applicable to all personnel employed by or contracted through LexiGuard Legal Policy Solutions and its affiliated entities. It is designed to ensure a fair, productive, and legally compliant work environment.

This policy applies to all full-time, part-time, temporary, and contract employees globally. Where local jurisdictional laws supersede this document, the stricter standard shall apply.

2. Equal Employment Opportunity

LexiGuard is committed to providing equal employment opportunities to all individuals regardless of race, color, religion, sex, national origin, age, disability, genetic information, veteran status, or any other characteristic protected by applicable law.

All employment decisions—including recruitment, promotion, compensation, training, and termination—will be based on merit, qualifications, and business necessity. Discrimination and harassment of any kind will result in disciplinary action up to and including termination.

Note: Employees are encouraged to report concerns through our confidential Ethics Hotline or directly to the HR Compliance Department.

3. Code of Professional Conduct

All employees must adhere to the highest standards of professional integrity and ethical behavior. Key expectations include:

  • Maintaining strict confidentiality regarding client data, corporate strategies, and internal operations
  • Avoiding conflicts of interest and disclosing any potential conflicts immediately
  • Utilizing company resources solely for authorized business purposes
  • Upholding respectful communication and collaborative teamwork in all interactions
  • Complying with all applicable federal, state, and international regulations

Violations of the Code of Conduct will be reviewed on a case-by-case basis and may result in corrective action.

4. Working Hours, Attendance & Remote Work

Standard business hours are Monday through Friday, 9:00 AM to 6:00 PM local time, unless otherwise specified by departmental needs or operational requirements. Employees are expected to maintain reliable attendance and notify their direct supervisor of any anticipated absences at least 24 hours in advance.

Remote work arrangements are permitted at the discretion of department heads, subject to performance standards, security protocols, and role-specific requirements. All remote workers must maintain a secure, distraction-free environment and comply with IT security policies.

5. Performance Management & Development

Performance evaluations will be conducted semi-annually using standardized metrics aligned with role objectives and company goals. Employees will receive clear feedback, development recommendations, and opportunity to discuss career progression.

LexiGuard invests in continuous learning through subsidized training programs, certification support, and internal mentorship initiatives. Employees are expected to actively engage in professional development relevant to their function.

6. Disciplinary Procedures & Grievance Resolution

The company follows a progressive disciplinary approach for performance or conduct issues: verbal counseling, written warning, final written warning, and termination. Severity of infractions may accelerate this process.

Employees with grievances may file a formal complaint through HR. All complaints will be investigated promptly, impartially, and confidentially. Retaliation against anyone reporting concerns is strictly prohibited and will be treated as a serious policy violation.

7. Termination & Offboarding

Employment with LexiGuard is generally at-will, meaning either party may terminate the relationship at any time, with or without cause or notice, subject to applicable contract terms and local labor laws.

During offboarding, departing employees must return all company property, complete exit interviews, and settle outstanding obligations. Final compensation and benefits continuation will be processed in accordance with legal requirements and company benefit policies.

8. Policy Review & Amendments

This policy will be reviewed annually by the Legal Compliance & Human Resources Committee. Amendments may be made at any time in response to regulatory changes, organizational restructuring, or operational needs. Updated versions will be distributed via official company channels and will take effect upon publication.

Employees are responsible for familiarizing themselves with current policy versions. Acknowledgment of receipt and understanding will be required annually through the compliance portal.
