As a digital mental health and mindfulness platform, we adhere to the highest standards of professional conduct, drawing from established frameworks including the APA, ACA, NBCC, and WMA guidelines. These policies ensure that every interaction, program, and service we provide prioritizes safety, dignity, and well-being.
This document outlines our core ethical commitments, data privacy standards, professional boundaries, and accountability mechanisms. It applies to all licensed clinicians, moderators, content creators, and platform administrators.

Providers maintain active licenses, specialize in their scope, and commit to ongoing continuing education.

We actively address bias, honor diverse lived experiences, and design inclusive, accessible mental health resources.
Transparency & Integrity
Clear pricing, honest marketing, disclosed conflicts of interest, and open communication about platform limitations.
Confidentiality & Data Privacy
Protecting your personal and clinical information is a legal and ethical imperative. SereneMind complies with HIPAA, GDPR, and other applicable data protection regulations.
- End-to-End Encryption: All therapy sessions, messaging, and file exchanges are encrypted in transit and at rest.
- Access Controls: Only assigned, credentialed professionals can access clinical notes. Access logs are audited quarterly.
- Data Minimization: We collect only what is necessary for care delivery, billing, and platform functionality.
- No Third-Party Selling: Client data is never sold, rented, or shared with advertisers or marketing networks.
- Right to Access/Delete: Clients may request copies of their records or request data deletion in accordance with legal retention requirements.
Informed Consent & Client Autonomy
Autonomy is central to ethical care. Before beginning any service, clients receive comprehensive informed consent covering:
- The nature, benefits, and potential risks of digital therapy and mindfulness programs
- Technical requirements, privacy limits, and emergency protocols
- Billing practices, cancellation policies, and refund eligibility
- The voluntary nature of participation and the right to withdraw at any time
- Clinician qualifications, scope of practice, and referral processes
Consent is an ongoing process. We reconfirm consent when treatment plans change, new features are introduced, or clients transition between service tiers.
Professional Boundaries
Maintaining appropriate boundaries protects both clients and providers. Our policies strictly prohibit:
- Dual relationships (e.g., romantic, financial, or business relationships with current clients)
- Accepting gifts, favors, or compensation outside the platform
- Unsolicited contact on personal social media or external communication channels
- Practicing outside one's licensed scope or competency area
- Using client information for professional gain without explicit consent
All providers complete annual boundary training. Violations result in immediate suspension, mandatory review, and potential termination of affiliation.
Cultural Responsiveness & Anti-Discrimination
SereneMind is committed to equitable care. We actively work to eliminate systemic barriers and bias in mental health delivery:
- Anti-Discrimination Policy: We do not tolerate discrimination based on race, ethnicity, gender identity, sexual orientation, religion, disability, age, or socioeconomic status.
- Inclusive Language & Design: Content is reviewed for cultural sensitivity, accessibility (WCAG 2.1 AA), and trauma-informed framing.
- Provider Diversity: We prioritize hiring from underrepresented communities and offer cultural competency training to all staff.

Competence & Continuous Education
Ethical practice requires staying current. All SereneMind clinicians and content developers must:
- Maintain active, verifiable licenses and certifications
- Complete minimum 20 CEU hours annually in evidence-based practices, digital ethics, and trauma care
- Undergo biannual case consultations and peer supervision
- Adhere to scope-of-practice guidelines; complex cases are escalated or referred appropriately
- Retire or modify outdated content based on emerging research and clinical feedback
We partner with accredited institutions and publish annual transparency reports on provider qualifications and training hours.
Reporting & Accountability
We encourage open reporting of concerns. Our process is structured to ensure fairness, confidentiality, and prompt resolution:

Initial Review
Our Ethics Committee assesses the claim within 48 hours and determines if a formal investigation is warranted.
Investigation
Impartial reviewers gather evidence, interview parties, and consult legal/clinical advisors as needed.
Resolution & Action
Outcomes may include mediation, retraining, policy updates, suspension, or termination. Results are communicated appropriately.
Non-Retaliation Guarantee: We strictly prohibit retaliation against anyone who reports in good faith. Violations of this guarantee result in immediate disciplinary action.
