Section 8: Data Retention Policy
Last Updated: December 15, 2024 | Effective Date: January 1, 2025
8.1 Overview
The Daily Pulse is committed to retaining your personal data only for as long as necessary to fulfill the purposes for which it was collected, comply with legal obligations, resolve disputes, and enforce our agreements. This section outlines our data retention periods, the principles guiding our storage practices, and the procedures for secure deletion.
We regularly review our data storage systems to ensure that information is not kept indefinitely without a valid business or legal justification.
8.2 Retention Principles
Our data retention practices are governed by the following core principles:
- Purpose Limitation: Data is retained only for the specific purposes disclosed at collection.
- Minimization: We do not retain data longer than required by law or operational necessity.
- Security & Anonymization: When retention periods expire, data is either securely deleted or anonymized so it can no longer be associated with you.
- Compliance: Retention periods adhere to applicable data protection laws, including GDPR, CCPA, and industry-specific regulations.
8.3 Retention Periods by Data Category
The following table details the standard retention periods for each category of personal data we process:
| Data Category | Retention Period | Purpose & Legal Basis |
|---|---|---|
| Account Information | Duration of account + 3 years | Service provision, security, fraud prevention |
| Article Reading & Browsing History | 24 months | Content personalization, analytics, service improvement |
| Newsletter & Email Preferences | Until unsubscribed + 12 months | Communication preferences, compliance with opt-out requests |
| Subscription & Payment Records | 7 years | Financial compliance, tax obligations, dispute resolution |
| Comments & User Contributions | Indefinite (unless deleted) | Community engagement, editorial record, transparency |
| IP Addresses & Server Logs | 6 months | Network security, abuse monitoring, statistical analysis |
| Customer Support Interactions | 24 months from resolution | Issue tracking, quality assurance, service improvement |
Note: Retention periods may be extended if you remain actively engaged with a service, or if required by applicable law.
8.4 Legal & Regulatory Holds
In certain circumstances, The Daily Pulse may be required to retain personal data beyond the standard retention periods outlined above. These exceptions include:
- Active or anticipated legal proceedings, investigations, or regulatory inquiries
- Subpoenas, court orders, or lawful requests from government authorities
- Fraud prevention, cybersecurity threats, or abuse mitigation
- Statutory obligations requiring longer retention (e.g., financial, tax, or employment records)
8.5 Deletion, Anonymization & Archiving
Upon expiration of a retention period, personal data is processed through one of the following methods:
- Secure Deletion: Data is permanently erased from active databases and backup systems using industry-standard cryptographic wiping methods.
- Anonymization: Where data is retained for statistical or research purposes, all personally identifiable information (PII) is irreversibly removed or masked.
- Archival: Certain historical records may be moved to offline, access-restricted archives for compliance purposes. Archived data is subject to strict access controls and cannot be used for marketing or profiling.
Our IT security team conducts quarterly audits to verify compliance with retention and deletion schedules.
8.6 User Rights & Early Deletion Requests
You have the right to request the deletion of your personal data before the standard retention period expires, subject to legal and contractual limitations. To submit a request:
- Visit your Account Settings and use the "Delete My Account" feature, or
- Contact our Data Protection Office at privacy@thedailypulse.com
Please note that early deletion may limit your ability to access certain services, and we may retain specific records required for legal compliance or fraud prevention, as outlined in Section 8.4.
