8. Termination Policy

This Termination Policy outlines the procedures, rights, and obligations governing the termination of services provided by Wp Admin. This policy applies to all managed WordPress maintenance, hosting, optimization, and support agreements.
8.1 Termination by Client
Clients may terminate their service agreement with Wp Admin at any time, for any reason. To initiate termination, clients must provide written notice via the designated account portal or by emailing our client relations team. Termination will take effect at the end of the current billing cycle unless otherwise agreed upon in writing.
8.2 Termination by Wp Admin
Wp Admin reserves the right to suspend or terminate services under the following circumstances:
- Material breach of the Service Agreement or Acceptable Use Policy
- Non-payment of invoices after the applicable grace period
- Use of services for illegal, malicious, or prohibited activities
- Persistent abuse of resources or repeated violation of security protocols
In cases of termination by Wp Admin, reasonable notice will be provided unless immediate action is required to mitigate security risks, legal liability, or service abuse.
8.3 Notice Period & Effective Date
Standard termination requests will be processed with a 30-day notice period. During this transition window, all active services will continue without interruption. Clients are responsible for ensuring smooth handover of access credentials and data export during this period.
8.4 Final Billing & Refund Policy
Upon termination, clients will be invoiced for:
- Services rendered up to the termination effective date
- Any outstanding balances from prior billing cycles
- Pro-rated charges for the final month, if applicable
Refunds: Wp Admin operates on a pre-paid monthly or annual billing model. Refunds for partially used months are issued on a pro-rated basis, minus any applicable setup or migration fees. Annual plan refunds will be calculated based on the remaining unused months, subject to a 10% administrative processing fee.
8.5 Data Retention, Export & Deletion
Client data privacy and sovereignty are paramount. Upon termination:
- Wp Admin will provide secure access to download all backed-up data, configurations, and reports for up to 30 days post-termination.
- After the 30-day grace period, all client data, backups, cached files, and administrative records will be permanently deleted from our servers in compliance with data protection regulations.
- Logs required for legal, security, or compliance purposes may be retained for up to 12 months, with all personally identifiable information (PII) anonymized.
Recommendation: We strongly advise initiating a full site migration or local backup at least 14 days before your termination date to ensure zero data loss.
8.6 Service Continuation & Handover
During the notice period, Wp Admin will continue to provide standard maintenance, security monitoring, and backup services. Clients may request a formal handover report, which will include:
- Current plugin, theme, and core version statuses
- Security audit summary and recent threat logs
- Performance metrics and optimization notes
- Backup inventory and retention schedule
Additional custom handover documentation or white-glove migration assistance may be available as a paid add-on service.
8.7 Dispute Resolution
Any disputes arising from termination, billing, or data handling will be resolved through good-faith negotiation. If unresolved, matters will be escalated to mediation in accordance with the jurisdiction specified in the original Service Agreement.
