1. Purpose & Scope

This Tax Policy outlines Aevum Encyclopedia’s approach to tax compliance, collection, reporting, and documentation for all digital products, services, and transactions. It applies to all individual subscribers, institutional clients, commercial partners, content contributors, and affiliates operating within or outside jurisdictions where Aevum Encyclopedia provides services.

Aevum Encyclopedia is committed to full transparency and strict adherence to all applicable local, national, and international tax regulations, including but not limited to VAT, GST, Sales Tax, Digital Services Tax, and withholding requirements.

2. Tax Collection & Compliance

Tax obligations are determined by the billing address or tax jurisdiction provided at checkout. Where legally required, Aevum Encyclopedia will automatically calculate, collect, and remit applicable taxes on:

  • Subscription plans (monthly, annual, and enterprise tiers)
  • One-time purchases (e-books, research packages, API credits)
  • Donations and voluntary contributions
  • Licensing agreements and commercial partnerships

Users are responsible for ensuring the accuracy of their billing and tax information. Incorrect or incomplete data may result in delayed invoicing, inaccurate tax calculations, or service interruption until resolved.

3. International Transactions & Cross-Border Taxation

Aevum Encyclopedia operates globally. For cross-border digital services, we comply with OECD guidelines, EU VATMOSS regulations, US remote seller marketplace facilitator laws, and other applicable frameworks.

Non-resident businesses purchasing enterprise licenses must provide valid tax identification numbers and complete the appropriate tax forms (e.g., W-8BEN-E, EU VAT Certificate, GST Input Tax Credit documentation). Failure to provide valid documentation may result in default tax withholding or rate application.

4. Refunds, Cancellations & Tax Credits

Refunds are processed in accordance with our Refund Policy. Where taxes were collected at the time of purchase, tax credits or refunds will be issued proportionally, subject to local tax authority regulations and reconciliation periods.

Cancelled subscriptions will not trigger retroactive tax adjustments unless explicitly required by jurisdictional law. Prorated refunds will reflect the net amount after applicable tax credits, where legally permissible.

5. Contributor & Affiliate Tax Reporting

Content contributors, editors, and affiliate partners receiving compensation from Aevum Encyclopedia are classified as independent contractors. We will issue appropriate tax documentation (e.g., 1099-NEC, T4A, or local equivalent) based on payment thresholds and jurisdictional requirements.

Contributors are responsible for reporting income, paying applicable income taxes, and maintaining records. Aevum Encyclopedia does not withhold income tax unless legally mandated.

6. Tax Documentation & Invoicing

All transactions generate automated, compliant invoices available in your account dashboard under Billing & Tax Records. Invoices include:

  • Itemized service descriptions and amounts
  • Applicable tax rates and jurisdictional references
  • Aevum Encyclopedia tax registration numbers
  • Valid digital signature and audit trail metadata

Custom invoice requirements, bulk tax statements, or audit support can be requested through our enterprise support portal.

7. Policy Amendments

Tax regulations evolve frequently. Aevum Encyclopedia reserves the right to amend this policy to reflect legislative changes, rate adjustments, or compliance updates. Material changes will be communicated via email and dashboard notification at least 30 days prior to implementation. Continued use of our services constitutes acceptance of updated terms.
