We understand that our policies govern how your data is processed, how our services operate, and what rights you retain as a customer. This page outlines our commitment to clearly communicating any updates, modifications, or revisions to our Privacy Policy, Terms of Service, and related legal documents.

How We Notify You of Changes

We never make policy changes without notice. Depending on the scope and impact of the update, we will notify you through one or more of the following channels:

  • Email Notification: A direct email will be sent to the primary account holder's registered email address at least 30 days before significant changes take effect.
  • In-App Banner: Persistent notifications will appear within your Sitemap.xml dashboard upon login until acknowledged.
  • Service Status Page: All policy updates are logged chronologically on our public compliance portal.
  • Website Footer & Legal Hub: The "Last Updated" timestamp on all policy documents is updated immediately upon publication.

Effective Dates & Implementation

All policy modifications include a clearly stated effective date. Standard updates typically take effect 30 days after initial notification. Emergency or compliance-driven changes (e.g., regulatory updates, security patches, or legal obligations) may take effect sooner, but we will clearly flag these as urgent compliance updates and provide a detailed rationale.

Until the effective date arrives, the previous version of the policy remains fully enforceable. You will not be bound by new terms until the published effective date passes.

Reviewing Historical Versions

We maintain a complete audit trail of all policy versions. Customers can access archived documents through:

  • Your account dashboard under Settings > Legal & Compliance > Policy History
  • Our public Wayback Machine snapshots
  • Direct request to our legal team (see contact below)

Each archived version includes the exact publication date, change summary, and effective period. We retain historical records for a minimum of 7 years to ensure compliance with international data protection standards.

What Constitutes a Material Change

Not all updates are created equal. We classify changes into two categories:

  • Non-Material: Editorial corrections, contact information updates, link adjustments, or minor clarifications that do not alter user rights or data processing activities.
  • Material: Changes to data collection scope, third-party sharing practices, jurisdictional transfers, fee structures, service limitations, or user account rights. Material changes require extended notice periods and enhanced disclosure.

Opting Out & Account Cancellation

If you do not agree with updated policy terms, you retain the right to terminate your account prior to the effective date. To cancel your service:

  • Log in to your Sitemap.xml dashboard
  • Navigate to Account Settings > Billing & Subscription
  • Select Cancel Subscription and follow the prompts

Upon cancellation, we will securely process your data retention/deletion requests in accordance with the policy version active at the time of termination. All applicable refunds will be prorated through the end of your current billing cycle.
