Participant Code of Conduct
1 Purpose & Scope
This Code of Conduct establishes the standards of behavior expected from all participants, guests, and support staff attending SummitX Adventures expeditions, workshops, and outdoor events. By booking or joining any SummitX activity, you acknowledge and agree to abide by these guidelines.
Our commitment is to foster a safe, inclusive, and environmentally responsible culture where every individual can focus on the adventure and personal growth.
2 Safety First
Outdoor environments present inherent risks. Your cooperation with safety protocols is mandatory, not optional.
- Follow all instructions from Lead Guides and Safety Officers without delay.
- Inspect and use provided safety equipment (harnesses, helmets, PFDs, etc.) as demonstrated.
- Report any injury, equipment failure, or hazardous condition immediately.
- Do not deviate from designated routes or boundaries without explicit guide approval.
- Dishonesty regarding physical condition, experience level, or medical history will result in immediate removal from the expedition.
3 Respect & Inclusion
SummitX Adventures is committed to creating an environment free from harassment, discrimination, and intimidation. We welcome participants of all backgrounds, identities, abilities, and experience levels.
- Treat all participants, guides, and local community members with dignity and respect.
- Zero tolerance for harassment, hate speech, bullying, or discriminatory behavior of any kind.
- Respect personal boundaries, consent, and privacy at all times.
- Conflicts must be addressed constructively. Aggressive, threatening, or disruptive behavior will not be tolerated.
4 Environmental Stewardship
We operate under strict Leave No Trace (LNT) principles. Protecting the natural landscapes we explore is a core responsibility.
- Carry out all trash, packaging, and waste. Do not bury or burn trash.
- Stay on marked trails to prevent erosion and protect native vegetation.
- Observe wildlife from a distance. Do not feed, approach, or disturb animals.
- Use biodegradable soap 200+ feet away from water sources.
- Minimize campfire impact; use provided stoves where available.
Violations of environmental policies may result in fines, removal from the trip, and reporting to relevant conservation authorities.
5 Professional Conduct & Team Dynamics
Expeditions function as cohesive units. Cooperation, communication, and accountability are essential.
- Maintain punctuality for all departures, meals, and scheduled activities.
- Share communal duties fairly (meal prep, site cleanup, equipment checks).
- Communicate needs, concerns, or fatigue levels openly with guides.
- Avoid monopolizing group time or equipment. Respect shared resources.
- Unauthorized modifications to group gear or vehicles are strictly prohibited.
6 Substance & Alcohol Policy
To maintain safety and judgment in remote environments, SummitX enforces strict substance guidelines:
- Alcohol: Permitted only in designated safe zones during non-operational hours. No alcohol consumption during travel, technical activities, or within 12 hours of them.
- Recreational Drugs: Strictly prohibited. Possession or use will result in immediate trip termination and handover to local authorities.
- Prescription Medications: Must be declared during booking. Participants are responsible for carrying adequate supplies and informing guides of potential side effects.
7 Photography & Media Consent
SummitX may photograph, film, or record participants during expeditions for educational, promotional, or archival purposes.
- By joining, you grant SummitX Adventures a non-exclusive, royalty-free license to use your likeness in marketing materials.
- To opt out, notify your booking agent or Lead Guide in writing 48 hours before departure.
- Participants are responsible for obtaining consent before photographing other guests, especially in culturally sensitive regions.
- Drone usage requires explicit advance approval and local regulatory compliance.
8 Reporting & Accountability
We take all concerns seriously. If you witness or experience a violation of this Code:
- Report it immediately to any SummitX staff member or email safety@summitx.com.
- All reports are handled confidentially and investigated within 24 hours.
- Retaliation against reporters is strictly prohibited and will result in immediate removal.
- Consequences range from verbal/written warnings to trip termination, refunds forfeiture, and permanent ban from future SummitX programs.
