Force majeure (French for "superior force") refers to unforeseeable, external circumstances that prevent us from fulfilling our contractual obligations. In the context of outdoor adventure travel, these events are often beyond our reasonable control and may significantly impact scheduled expeditions.
As an outdoor adventure company, we operate in environments inherently subject to natural variability and external disruptions. This policy outlines how we handle such situations transparently and fairly, with the safety and well-being of our adventurers always as our top priority.
By booking any expedition with SummitX Adventures, you acknowledge and accept the inherent risks associated with outdoor adventure travel, including the possibility of trip modifications or cancellations due to force majeure events. We strongly recommend purchasing comprehensive travel insurance.
Covered Force Majeure Events
The following categories of events are considered force majeure under this policy. We've organized them to help you understand the range of situations that may affect your adventure.
Natural Disasters
Earthquakes, volcanic eruptions, tsunamis, landslides, hurricanes, typhoons, tornadoes, and severe flooding that make destinations inaccessible or unsafe.
Extreme Weather
Unseasonal blizzards, avalanches, extreme heatwaves, severe storms, or rapid weather changes that create dangerous conditions on trails and routes.
Political & Civil Unrest
Coups, riots, civil disturbances, terrorism, war, or government travel advisories that restrict access to adventure destinations.
Pandemics & Epidemics
Widespread disease outbreaks, public health emergencies, quarantine orders, or travel bans imposed by governmental health authorities.
Transportation Disruptions
Airline cancellations, port closures, border shutdowns, fuel embargoes, or infrastructure failures that prevent access to expedition locations.
Environmental Changes
Rapid environmental changes such as glacier collapses, trail washouts, forest fires, wildlife migrations, or ecosystem disruptions that affect route viability.
Force majeure events must be truly unforeseeable and beyond the reasonable control of SummitX Adventures. Normal seasonal variations, known weather patterns, or foreseeable political situations are not typically covered under this clause.
Weather-Related Disruptions
Weather is the most common force majeure concern for outdoor adventures. Given the nature of our activities, we take weather-related decisions with extreme care, prioritizing adventurer safety above all else.
Our Weather Protocol
Every expedition with SummitX includes a comprehensive weather monitoring system. Our experienced guides are trained to make real-time safety decisions based on current and forecasted conditions. Here's how we approach weather disruptions:
Pre-Departure Monitoring: We monitor weather forecasts continuously from 14 days before your trip and will proactively communicate any concerns.
On-Site Assessment: Lead guides conduct daily safety briefings and weather assessments during multi-day expeditions, with authority to modify or halt activities.
Alternative Routes: Where possible, we maintain backup routes and alternative activities to ensure a fulfilling experience even in challenging conditions.
Emergency Shelter: All expeditions include emergency shelter plans and communication equipment for severe weather events in remote areas.
SummitX Adventures reserves the right to cancel, modify, or delay any activity due to weather conditions deemed unsafe by our lead guide. This decision is final and made solely on safety grounds. No refunds are issued for activities cancelled due to weather during an ongoing trip; however, alternative activities will be offered wherever possible.
Political & Civil Events
Political instability, civil unrest, or government actions can significantly impact our ability to conduct adventures safely. We monitor geopolitical situations in all our destinations through multiple intelligence sources.
Government Travel Advisories
We closely follow travel advisories issued by relevant government bodies including the U.S. State Department, UK Foreign Office, and local government authorities. If a destination receives a Level 3 ("Reconsider Travel") or Level 4 ("Do Not Travel") advisory, we will take immediate action to protect booked adventurers.
Closure of Protected Areas
Many of our expeditions take place in national parks, protected wilderness areas, and indigenous territories. Unexpected closures of these areas due to political decisions, policy changes, or administrative actions are considered force majeure events. In such cases, we will work to reroute or reschedule your adventure to a comparable experience.
In the event of political disruptions, SummitX Adventures will proactively contact all affected adventurers within 24 hours of the event with clear options for rescheduling, rerouting, or cancellation. We maintain relationships with operators in multiple regions to facilitate alternative arrangements.
Health Emergencies & Pandemics
Global health emergencies, including pandemics and epidemics, represent a significant force majeure risk for adventure travel. The lessons learned from recent global events have shaped our enhanced health emergency protocols.
Pandemic Response Protocol
In the event of a declared public health emergency affecting our operations or destinations, the following measures apply:
Government-Mandated Closures: If a government declares a travel ban, quarantine requirement, or lockdown that prevents the trip from proceeding as planned, this qualifies as a force majeure event.
Health & Safety Standards: During health emergencies, SummitX will implement enhanced safety protocols including health screenings, reduced group sizes, sanitized equipment, and modified social distancing practices.
Participant Health Requirements: During active health emergencies, participants may be required to provide proof of vaccination, negative test results, or other health documentation as mandated by local authorities.
Flexible Rescheduling: For trips cancelled due to pandemic-related force majeure, all participants receive a full trip credit valid for 24 months, with no administrative fees applied.
Individual illness, injury, or personal health conditions are not considered force majeure events. Adventurers who cannot participate due to personal health reasons should rely on their travel insurance coverage. We recommend our partners who offer comprehensive medical and cancellation coverage.
What Happens to Your Trip
When a force majeure event occurs, we follow a structured response protocol designed to minimize disruption and provide you with clear options. Here is the step-by-step process:
Event Assessment & Risk Evaluation
Our risk management team immediately assesses the situation, consulting with local operators, government authorities, and safety experts to determine the impact on your expedition.
Adventurer Notification
All affected adventurers are contacted via email, SMS, and phone (if pre-departure) or through on-site communication channels. We provide a clear situation update and preliminary options.
Presenting Your Options
Based on the assessment, we present one or more options: reschedule to an alternative date, reroute to a comparable alternative destination, or cancel with credit/refund per the refund schedule below.
Your Decision Window
You have a minimum of 72 hours (or as circumstances allow) to decide on your preferred option. Our adventure concierge team is available to answer questions and help you make an informed choice.
Implementation & Follow-Up
Once you've made your decision, we process the rescheduling, rerouting, or cancellation. Refunds or credits are issued within the timeframes specified in our refund policy.
During active force majeure events, we recommend monitoring your email, checking your SummitX account dashboard, and following our social media channels for real-time updates. An emergency hotline is activated for all affected groups.
Refund & Rescheduling Policy
In the event of a force majeure cancellation by SummitX Adventures, the following refund and rescheduling terms apply. These terms are based on how far in advance the force majeure event occurs relative to your scheduled departure.

Choosing a trip credit instead of a refund gives you additional value and flexibility. Credits can be applied to any SummitX adventure (including premium upgrades), are transferable to another person, and can be combined with seasonal promotions.
Rescheduling to a Specific Date
When rescheduling due to force majeure, you may select any available departure date within the validity period of your credit or refund window. There are no additional change fees, though price differences (if the new trip is priced higher) would apply. If the new trip is priced lower, the difference will be refunded or credited.
Processing Time
Refunds are processed within 7-14 business days after confirmation. Credits are issued immediately and reflected in your SummitX account. Processing times may be extended during widespread force majeure events affecting our operations.
Travel Insurance Recommendations
While our force majeure policy provides protection for trip disruptions caused by external events, comprehensive travel insurance offers additional coverage for personal circumstances. We strongly recommend all adventurers purchase appropriate insurance before booking.
Basic Coverage
Medical emergencies, basic trip cancellation, and limited baggage coverage. Suitable for domestic and short international trips.
Comprehensive Coverage
Full medical, trip cancellation/interruption, evacuation coverage, and force majeure protection. Our most recommended option.
Extreme Sports Add-On
Essential for climbing, rafting, and high-altitude expeditions. Covers adventure-specific injuries and rescue operations.
Group Travel Policy
Discounted rates for groups of 4+. Covers shared trip costs when one member cancels. Ideal for team retreats and family trips.
SummitX Adventures is not a licensed insurance provider. The recommendations above are based on our industry experience and partnerships with trusted providers. Adventurers should carefully review all policy terms, exclusions, and coverage limits directly with their insurance provider before purchase.

How We Notify You
In the event of a force majeure situation, we use multiple communication channels to ensure you receive critical information:

SMS/Text: Urgent alerts for time-sensitive decisions or immediate safety concerns. Ensure your mobile number is up to date in your SummitX account.
Phone Call: Our concierge team will call each affected adventurer for complex situations requiring immediate attention or personalized guidance.
Website & Dashboard: Real-time updates posted to our website and your personal SummitX account dashboard.

Your Responsibilities
While SummitX Adventures manages force majeure situations on our end, there are important responsibilities for you as the adventurer:
Keep Contact Information Updated: Ensure your email, phone number, and emergency contact details are current in your SummitX account at all times. We cannot notify you if we cannot reach you.
Purchase Travel Insurance: Buy comprehensive travel insurance before your trip departs. Many force majeure exclusions in insurance policies require purchase within 14-21 days of your initial trip deposit.
Review Government Advisories: Stay informed about travel advisories for your destination. While we monitor these, personal responsibility includes checking your own government's guidance.
Make Timely Decisions: When we present options following a force majeure event, respond within the provided decision window to avoid losing your selected option.
Follow Guide Instructions: During an active force majeure event on an ongoing trip, follow all instructions from your expedition guide without question. Their authority on safety matters is absolute.
File Insurance Claims: If you have travel insurance, you are responsible for filing claims directly with your provider. We can provide documentation and support letters as needed.
By booking with SummitX Adventures, you acknowledge that outdoor adventure travel inherently involves exposure to natural elements and unpredictable circumstances. While we take every reasonable precaution to ensure safety and minimize disruptions, absolute guarantees cannot be provided in outdoor settings. Force majeure events, by their very nature, are beyond the control of any operator.
Limitation of Liability
SummitX Adventures shall not be liable for any indirect, incidental, consequential, or special damages arising from force majeure events. Our liability is limited to the provisions outlined in this force majeure policy and our broader Terms & Conditions. This includes but is not limited to lost wages, missed business opportunities, or emotional distress.
