Service & Account Termination Policy
Official guidelines governing the suspension, cancellation, and termination of CyberVault cybersecurity services, data handling procedures, and post-termination obligations.
Last Updated: October 15, 2025 | Policy v4.21 Overview & Scope
This policy outlines the conditions, procedures, and obligations associated with the termination of CyberVault services. It applies to all subscription tiers, enterprise contracts, and API integrations. Termination may be initiated by the Client or by CyberVault under specific circumstances defined herein.
2 Grounds for Termination
CyberVault may suspend or terminate services under the following conditions:
- Non-Payment: Failure to remit payment within 15 days of the invoice due date.
- Security Violations: Use of CyberVault infrastructure for malicious activities, including but not limited to unauthorized scanning, ransomware deployment, or C2 communication.
- Compliance Breach: Repeated violations of acceptable use policies, export control regulations, or data sovereignty requirements.
- Force Majeure: Prolonged inability to maintain service due to regulatory shutdowns, infrastructure failure, or不可抗拒 events.
Clients may terminate their subscription at any time through the customer portal or by submitting a formal request to billing@cybervault.io.
3 Termination Process & Notice Period
Upon initiation of termination, the following workflow applies:
- Notice: A minimum 30-day written notice is required for enterprise contracts. Month-to-month plans terminate at the end of the current billing cycle.
- Grace Period: During the notice period, all monitoring, logging, and response capabilities remain fully active.
- Final Audit: Our SOC team will conduct a final security posture review and generate a termination readiness report.
- Effective Date: Service ceases at 23:59 UTC on the agreed termination date. All API tokens, agent licenses, and dashboard access will be revoked.
4 Data Handling & Deletion
CyberVault adheres to strict data lifecycle policies aligned with SOC 2 Type II, GDPR, and ISO 27001 standards.
| Data Type | Post-Termination Handling | Retention Period |
|---|---|---|
| Raw Network Logs | Exportable during grace period | 90 days (compliance mandate) |
| Threat Intelligence Feeds | Immediate revocation | 30 days |
| Endpoint Agent Telemetry | Secure wipe upon license expiry | 15 days |
| Billing & Contract Records | Archived offline | 7 years (tax/legal requirement) |
5 Billing & Refund Policy
- Prepaid annual subscriptions are prorated based on remaining months, less a 15% early termination administrative fee.
- Monthly subscriptions are non-refundable for the current billing period.
- Outstanding invoices must be settled within 10 days of termination to avoid suspension of data export privileges.
- Third-party integration fees (e.g., SIEM connectors, cloud marketplace instances) are not covered by CyberVault refunds and must be cancelled directly with the provider.
