By booking an expedition, event, or service with SummitX Adventures ("Company", "we", "our"), you agree to the following terms and conditions. Please read them carefully.
1. Eligibility & Participation
- All participants must be at least 16 years old unless accompanied by a parent or legal guardian (18+).
- You must be in good physical and mental health to participate. Certain expeditions require advanced fitness or prior experience.
- SummitX reserves the right to deny participation if we determine a participant poses a risk to themselves or others.
2. Booking & Payment
- A non-refundable deposit is required to secure your reservation. Full payment is due 30 days prior to departure unless otherwise stated.
- All prices are listed in USD and may be subject to change due to permit fees, fuel costs, or exchange rates.
- Payment must be made through verified channels. SummitX does not accept cash, gift cards, or cryptocurrency.
3. Conduct & Behavior
Participants must respect local laws, cultural norms, and wilderness regulations. Disruptive, illegal, or unsafe behavior may result in immediate removal from the trip without refund.

đ Privacy & Data Protection
SummitX Adventures is committed to protecting your personal information. This policy outlines how we collect, use, and safeguard your data.
1. Information We Collect
- Personal Details: Name, email, phone, date of birth, emergency contacts.
- Health & Safety Data: Medical conditions, allergies, medications (stored securely and shared only with guides for emergencies).
- Payment Information: Processed via PCI-compliant third-party gateways. We do not store full credit card numbers.
- Booking & Travel Data: Itinerary preferences, passport/visa details (where required for international permits).
2. How We Use Your Data
We use your information to process bookings, arrange permits, ensure safety compliance, communicate trip updates, and improve our services. We never sell your personal data to third parties.
3. Data Security & Retention
All data is encrypted in transit and at rest. Health and emergency information is retained for 2 years post-trip for liability and safety records, then securely deleted unless legally required otherwise.
4. Your Rights
You may request access, correction, or deletion of your personal data by emailing privacy@summitx.com. We comply with GDPR, CCPA, and applicable international privacy laws.
âŠī¸ Cancellation & Refund Policy
Weather, health, and logistical factors can affect outdoor expeditions. Our cancellation policy is designed to be fair to both adventurers and local partners.
1. Cancellation by Participant
- 60+ days before departure: 100% refund of deposit and payments.
- 30â59 days: 50% refund, 50% retained for administrative and permit fees.
- 14â29 days: 25% refund, 75% retained.
- Less than 14 days: No refund unless covered by trip cancellation insurance.
2. Rescheduling
Participants may reschedule once within 12 months of the original date, subject to availability. A $75 administrative fee applies. Rescheduling is not permitted within 14 days of departure.
3. Cancellation by SummitX
If we cancel a trip due to safety concerns, permit denials, or low enrollment, you will receive a full refund or may transfer your booking to another expedition at face value.
â ī¸ Force Majeure: Acts of God, civil unrest, pandemics, or government travel bans may result in trip postponement or cancellation. Refunds will be processed according to applicable consumer protection laws.
âī¸ Liability & Risk Waiver
Outdoor adventures inherently involve risk. By participating, you acknowledge and accept these risks.
1. Assumption of Risk
You understand that activities may include hiking, climbing, camping in remote areas, exposure to weather, wildlife encounters, and physical exertion. Injuries, equipment failure, or medical emergencies may occur despite our best precautions.
2. Release of Liability
Participants agree to release, indemnify, and hold harmless SummitX Adventures, its guides, employees, partners, and affiliates from any claims, damages, or liabilities arising from participation, except in cases of gross negligence or willful misconduct.
3. Insurance Requirements
- All participants are strongly encouraged to carry comprehensive travel and medical evacuation insurance.
- SummitX provides group liability insurance but does not cover personal injury, lost gear, or trip interruption.
- Proof of insurance may be required for high-altitude or international expeditions.
đ Waiver Signature: All participants must sign a digital liability waiver at least 72 hours before departure. Minors require parental/guardian signature.
đĄī¸ Safety & Equipment Guidelines
Your safety is our highest priority. We follow industry-standard protocols and require participant cooperation.
1. Guide Authority
Lead guides have final authority over route decisions, pace, weather responses, and emergency procedures. Disobeying safety instructions may result in removal from the trip.
2. Required vs. Provided Gear
- Provided: Group camping equipment, safety ropes, first aid kits, communication devices, and specialized expedition gear.
- Participant Responsibility: Personal clothing, footwear, hydration system, headlamp, and any medication.
- Gear checklists are sent 30 days before departure. Failure to bring required items may prevent participation.
3. Emergency Protocols
All trips carry satellite communicators and certified first aid kits. Guides are trained in wilderness first response (WFR/WFA). In emergencies, we prioritize evacuation, medical stabilization, and contact with rescue services.
4. Weather & Altitude
Weather in mountain and wilderness environments is unpredictable. Altitude sickness prevention includes gradual acclimatization, hydration protocols, and descent options. Participants with cardiovascular or respiratory conditions should consult a physician before booking.
đŋ Environmental & Leave No Trace Policy
SummitX Adventures operates under a strict sustainability framework. We are committed to preserving the wild places we explore.
1. Leave No Trace Principles
- Plan ahead and prepare; travel on durable surfaces.
- Dispose of waste properly (pack out all trash, including food scraps).
- Leave natural and cultural features undisturbed.
- Minimize campfire impact; use stoves where fires are prohibited.
- Respect wildlife by observing from a distance.
2. Permit & Access Compliance
We obtain all required land-use, camping, and conservation permits. Participants must stay on designated trails and campsites. Unauthorized off-trail travel or drone use without permits is strictly prohibited.
3. Sustainability Commitments
We offset carbon emissions from ground transport, partner with local conservation NGOs, use eco-certified accommodations when possible, and donate 2% of annual revenue to trail maintenance and wildlife protection projects.
