Terms & Cancellation Policy

1. Booking & Payment Terms

All bookings must be confirmed with a non-refundable deposit of 25% of the total trip cost. The remaining balance is due 60 days prior to the departure date.

Payments are processed securely via credit card, bank transfer, or approved installments. All prices are quoted in USD unless otherwise specified. SummitX reserves the right to adjust pricing due to external factors (taxes, permits, or partner costs) with prior notice and a refund of the difference if the price decreases.

2. Cancellation & Refund Policy

Cancellations must be submitted in writing via email or through your booking portal. Refund eligibility is determined by the notice period relative to the departure date:

3. Trip Modifications & Participant Transfers

Date Changes: Available at no fee if requested more than 60 days prior. Within 60 days, a $100 administrative fee applies, subject to availability.

Participant Transfer: You may transfer your booking to another person up to 21 days before departure. The new participant must meet all fitness, age, and equipment requirements and pay a $75 transfer fee.

Group/Corporate Bookings: Custom terms may apply. Contractual agreements override standard policy where explicitly stated.

4. Safety, Liability & Waiver of Claims

Outdoor adventures inherently carry risks including but not limited to extreme weather, terrain hazards, wildlife encounters, and medical emergencies. By participating, you acknowledge these risks and voluntarily assume responsibility for any injury, loss, or damage.

SummitX maintains rigorous safety protocols, certified guides, and emergency response procedures. However, you agree to release, indemnify, and hold harmless SummitX, its affiliates, guides, partners, and property owners from any claims arising from your participation.

Participants must sign a digital liability waiver and emergency medical authorization form prior to departure. Failure to provide required documentation may result in exclusion from the expedition without refund.

5. Gear, Fitness & Preparation Requirements

Each expedition has specific physical demands and equipment recommendations. SummitX provides core group gear but expects participants to bring personal items as listed in the pre-trip kit list.

Failure to meet minimum fitness requirements or carry mandatory safety gear (e.g., proper footwear, weather-appropriate layers, personal first aid) may result in guide-led removal from the trip for safety reasons. In such cases, refunds are governed by the cancellation policy based on the notice date.

6. Weather, Force Majeure & Environmental Conditions

SummitX reserves the right to modify, delay, or cancel an expedition due to unsafe weather, natural disasters, political instability, permit restrictions, or other force majeure events. In such cases:

• You will be offered a full credit toward a future expedition, or
• A pro-rated refund based on expenses already incurred

SummitX is not liable for additional personal expenses (flights, visas, accommodation) resulting from expedition modifications or cancellations due to force majeure.

7. Photography, Media & Personal Data

SummitX may photograph, video, or audio record expeditions for marketing, educational, or documentary purposes. By participating, you grant SummitX a non-exclusive, royalty-free license to use your likeness in these materials.

If you prefer not to appear in promotional content, please notify your guide upon arrival. Your request will be respected, though group shots may still occur. Personal data is handled in compliance with applicable privacy laws and will never be sold to third parties.
