Information Sharing & Data Transparency

We believe transparency builds trust. This page outlines how JobSphere collects, shares, and protects your information, and how you can control your data preferences.

Last Updated: October 24, 2025

Overview

JobSphere operates as a neutral platform connecting job seekers with employers. Information sharing on our platform is purposeful, consent-driven, and strictly governed by our commitment to privacy and security. We never sell personal data to third parties for marketing purposes.

Core Principles

  • Consent First: We only share information when you explicitly allow it.
  • Minimization: We request and share only what is necessary.
  • Transparency: Clear visibility into who sees your data and why.
  • Security: Enterprise-grade encryption and access controls.

Candidate Information Sharing

When you create a JobSphere profile or apply to a job, certain information may be shared with employers. You control what is visible at every stage.

Data Type Shared With Employers? When Shared
Resume & Profile Only when you apply or opt-in Upon application or public profile activation
Contact Information Never automatically Only after mutual interest or explicit consent
Application Status Yes (to the specific employer) Real-time updates for applied roles
Search History No Stored locally/encrypted for personal use only

You can review and modify your visibility preferences at any time in Settings > Privacy & Visibility.

Employer Information Sharing

Employers using JobSphere agree to our Data Processing Agreement (DPA). We share candidate data strictly on a need-to-know basis within your organization, governed by role-based access controls.

Important Notice for Employers

JobSphere does not store candidate data longer than necessary. Once a hiring decision is finalized, you must confirm data retention or request deletion through your employer dashboard. We conduct quarterly compliance audits to ensure adherence.

Information shared by employers includes:

  • Job descriptions, requirements, and company profiles
  • Recruiter contact details (visible only to candidates who apply)
  • Interview scheduling data (encrypted, time-limited)
  • Aggregate hiring metrics (anonymized, opt-in for platform insights)

Third Parties & Analytics

We partner with essential service providers to maintain platform functionality, security, and performance. These partners are contractually bound to use your data solely for the services we request.

Cloud Infrastructure & Hosting

JobSphere runs on AWS and Cloudflare. Data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access is restricted to authorized personnel via MFA and audit logging.

Email & Notification Services

We use SendGrid for transactional emails. Contact details are hashed before transmission and never stored on third-party servers longer than required for delivery confirmation.

Analytics & Performance

We use Plausible Analytics (privacy-first, no cookies, GDPR compliant) to understand platform usage. No personally identifiable information (PII) is collected or shared with analytics providers.

Your Controls & Rights

You are always in control of your information. JobSphere provides built-in tools to manage, export, or delete your data without needing to contact support.

For formal data subject requests (DSR), you may submit a form through our privacy portal or email privacy@jobsphere.com. We respond within 30 days as required by law.
